Position overview 

  • She will directly report to CEO and provides executive support in a one-on-one working relationship also organising complex travel itineraries and travelling with Director with open and flexible working times. Acting  as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the "Media House" CEO. She will Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.


  • Completes a broad variety of administrative tasks for the President & CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential, itineraries, and agendas; and compiling documents for business-related meetings. 
  • organising complex travel itineraries and travelling with CEO.
  • Working closely with CEO, the Administration and Operations Managers to ensure the smooth running of the business, including the maintenance of office stock and supplies and regular database updates
  • Acting as the first point of contact  and RHP to the CEO.
  • Acting on behalf of and representing the CEO as required, including the management of calls, enquiries and requests, Tracking expense authorisation.
  • Reporting back to the Director with detailed and accurate notes.
  • Undertaking projects on a regular basis, including event planning.
  • Personal assistant tasks for the CEO, including, but not limited to, diary management, extensive email correspondence and organising both internal and external meetings.
  • Plans, coordinates and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
  • Preparing meeting minutes and Attending meetings and producing follow-up notes.Providing line management and support to Administration and Operations teams including task delegation, training new employees, undertaking appraisals and handling poor performance issues.


  • Educated to a degree level 
  • A minimum of five years’ experience in a similar position
  • Previous team-management experience
  • An in-depth knowledge of the industry
  • Excellent written and verbal communication skills
  • Competent with Microsoft Office packages, particularly Word and Outlook
